The following tips will help you to organize one of the best parties your company has ever had. This article is going to simplify all of the challenges that come with this task.


Are you going to have help planning this party or are you doing it on your own? If you have help you will need to coordinate with them and divide the responsibilities so there is not any duplication of efforts. How many people are you expecting? On average your attendance will be about 1.5 times the number of employees you have. Not everyone will be able to come and some people won’t want to. Assuming you are doing your party on a weekend and inviting families the above numbers will apply. If you are doing an employee only party during the week, you might estimate 75% to 80% of your employees will attend. Weekday events are great for team building and camaraderie but generally weekend events are the employee’s preference. Employees generally prefer to have an event that they can bring their families to and have a nice day that they are not paying for.


The most critical part of planning a Company Picnic or Team Building activity and the hardest to organize is the date. It would be prudent to put together several dates and give the executive and management teams several choices of days. Of course you want to be sure and get as many of these people as possible to attend.


Next you need to find a venue and secure your date. Before you can do this you have a decision to make, what type of party do you want this to be? Do you want to build team spirit, community and morale in your business or are you only interested in enjoyment for your employees and their families with very little employee interaction. A theme park is probably the way to go if your only objective is to provide a fun day for your employees and their families. However, if you are interested in making an investment in your employees it would be recommended that you go to an “Old Fashion” picnic park. Your employees will have plenty of fun things to participate in and you will be promoting a Team Building type event. Employees will spend all day together in the same picnic grove instead of spread out among a giant theme park where they will not interact with their coworkers. “Old Fashion Picnics” promote mingling, conversation and interaction among your employees. In this type of setting your employees will naturally interact with each other in a way that would not be facilitated otherwise. This will build relationships and foster a more productive work environment.


If you want to have a successful picnic be sure to have good food. Food can be a focal point of the event and people will always appreciate a good meal. If the venue you decided on does not have a catering service then they will have a list of some that they recommend. You may have a caterer you have used before and want to use them again. Full service venues will have an event planner to help you with these decisions and the rest of the details from here on out. Your menu should accommodate the majority of your employees and be sure to consider your vegetarians. Make sure there is something special for your vegetarians. It is nice to have a variety of salads, meats, sodas, and alcoholic beverages for everyone to enjoy.


From here on out all you really need to do is promote the party and hand out tickets. You can promote the party by placing flyers and posters throughout your work place and sending out emails.


Assuming you have chosen a location with a good staff you will be able to relax and enjoy the day of the event just as though you are a guest!
